What are the periodic reports?

A project is divided into Reporting Periods of 12 to 18 months shown in your contract.

Within 60 days after the end of each reporting period the coordinator must send in:

  • a periodic technical report’ containing:
    • (i) an explanation of the work carried out by the beneficiaries
    • (ii) an overview of the progress
    • (iii) a summary for publication by the Commission

  • a ‘periodic financial report’ containing:
    • (i) an ‘individual financial statement’ from each beneficiary
    • (ii) an explanation of the use of resources from each beneficiary
    • (iii) a ‘periodic summary financial statement

The technical report has a structured PART A filled in online and a free text PART B submitted as a pdf document.

Important:

  • The coordinator submits the report.
  • Each partner must provide information to the coordinator on
    • Their work performed in the period
    • Progress towards milestones and risks/deviations
    • Their cost in the period
    • An explanation to the costs

It is extremely important that all partners contribute to the reporting and that all deadlines are kept. One partner may delay all the others as the reporting cannot be finished until all has sent in their individual contributions to the work progress and their cost statements.

Delays in reporting causes delays in payments as the next prepayment will not be done by The EC before the reporting period is closed. Not reporting is considered a breach of the contract.

To keep the coordinator and PO happy: Do the reporting promptly and correct!
